Frequently Asked Questions
Who can participate?
Organizations affiliated with MILSET Europe can register directly (check the list here), while non-affiliated institutions must first contact the organizing committee for accreditation. Please note that direct individual registrations are not authorized. Participants (aged 14–25) are required to present a scientific or technical project developed by a team of up to 4 members. These projects will be showcased to the public during the event.
When is the registration deadline?
The registration deadline has been extended to June 1, 2026. Would you conduct your selection pass that date, please contact us prior the deadline.
Dates
The event will take place between October 18 and 23, 2026.
First/last meal to be served is the lunch.
Languages
English is the official language of the event.
You shall be able to present your project in English and the material used on your stand as to be, at least, in English. By courtesy for the visitors, you are invited to prepare some materials in Itlian language.
Visas
Participants requiring a visa must first complete their online registration to request and download their official invitation and accommodation proof from the system. It is the participant’s sole responsibility to manage the application process with the Italian authorities and provide all necessary documentation.
Applications should be submitted at least 2 months prior to the event. Please be aware that the organizers accept no liability for visas not issued in time. Additionally, any participant planning to extend their stay must independently justify the extra time (e.g., via hotel bookings) when applying for the visa.
Practical Guide to reach Mantua
By Plane The recommended airports for arrival are Verona Valerio Catullo (VRN) and Milan Bergamo (BGY). If your flight lands in Milan or Rome, you can reach the venue comfortably by taking a direct train to Mantua.
By Land (Train & Bus) The city is accessible via the Mantova Railway Station using Trenitalia and Trenord services, with frequent links to Milan and Rome. Additionally, budget-friendly travel is available via Flixbus from across Europe.

Insurances
All participants must be covered by an insurance for the period of the event.
Personal data
The organisers commit the provided personal data is only used within the scope of the event, not to forward them to third party and to keep them for a maximum 3 years following the general data protection regulation (GDPR).

What is included?
- Accommodation: Shared rooms (gender and age-separated).
- Meals: Full board, from lunch on the arrival day to lunch on the departure day.

Delegation Rules & Ratios
Guidelines for composing your team.
Supervisor Ratio to ensure proper supervision, delegations must adhere to the following ratios based on the number of participants:
- Basic Rule: Up to 1 supervisor for every 4 participants.
- Head of Delegation: Required if the delegation has at least 3 participants (counted within the supervisor limit).Activities: Access to the expo, workshops, and social events.
